General Manager, Corporate Services

Reporting to the General Secretary & CEO (GS & CEO), you will be directly responsible for all administrative, financial and risk management operations of the Association, which includes governance, the development of efficient financial and operational processes and the on-going development and monitoring of control systems designed to preserve the Association’s assets. This includes regular reporting and analysis of accurate financial results.

You will also have responsibility for oversight of other non-Finance Corporate Services functions, including Human Resource & Admin, IT and Building Services.

Duties and Responsibilities:

I. FINANCE
Planning

  • Assist in formulating the Association’s future direction and supporting tactical initiatives with financial scenarios and input
  • Monitor the financial aspect of the implementation of strategic business plans
  • Prepare the Association’s annual budget for the Board’s approval
  • Manage the capital requests and monitor upon approval
  • Build a strong finance set-up for the Association

Operations

  • Advise the financial impact of key recommendations to be made to the Board
  • Have in-depth understanding of the various businesses of the Association
  • Manage the accounting, treasury, risk management, and investment functions and also relations with financial institutions
  • Manage any third parties to which the finance functions have been outsourced
  • Oversee the Association’s transaction processing systems
  • Implement operational best practices
  • Manage acquisition due diligence
  • Manage contracts including operating leases and tenders

Financial Information

  • Oversee the issuance of financial information
  • Work with the external auditors to issue audited statements (annual or special) on time, and investigate their findings and recommendations
  • Ensure statutory compliance of financial and tax laws, regulations and rules
  • Ensure all statutory filing are on time
  • Report financial results to the Board on a timely basis

Risk Management

  • Understand and mitigate key elements of the Association’s risk profile
  • Construct and monitor reliable control systems
  • Secure and maintain appropriate organization-wide insurance coverage
  • Report risk issues

Funding

  • Monitor cash balances and cash forecast
  • Monitor status of Government / corporate / foundation grants and donations from fundraising events
  • Manage funds with the Investment Committee

PDPA Policies and Governance Matters

  • Responsible for the Association’s PDPA policies/ practices and governance matters to ensure the Association meets its obligation to comply with the various legislations and codes of financial governance for charities and IPCs.

II. HUMAN RESOURCE & ADMIN

  • Optimise the internal operations and automation of HR department to ensure cost controls that lead to efficiency and quality service to various business units.
  • Define human capital needs of the organisation in view of overall business & programme development strategy.
  • Innovate methods in hiring, identifying and developing talent through a defined leadership track.
  • Formulating a strong mission driven culture of empathy, innovation, collaboration and excellence.

III. IT & BUILDING SERVICES

  • Strategise and advise the GS & CEO on all IT related matters to ensure the effective and efficient operation of the Association and its subsidiaries.
  • Identify and implement new or improvements to the IT infrastructure/systems for the Association and its subsidiaries.
  • Provide leadership to the Building Services team to establish and maintain quality service standard with considered risk mitigation
  • Ensure compliance to all regulatory building, health and safety requirements

IV. ACROSS ALL CORPORATE SERVICES FUNCTIONS

  • Collaborate with various business unit heads and provide them strategic consultancy and support in overall business operations & strategy.
  • Provide consultancy services in business development, innovation and operational efficiency with the goal of efficiency and profitability.
  • Identify critical operational issues and define appropriate management structures to track the progress of critical operational resolution.
  • Identify control weaknesses and establish control activities to manage risks.
  • Develop and implement policies and governing procedures to ensure compliance with statutory and regulatory requirements.

Requirements:

  • Degree in Accounting/ Finance/ Business Administration or equivalent professional leadership qualification or experience.
  • Proven senior leadership and management skills, in-depth understanding and knowledge of budgeting and financial management, sales, business development, marketing and communications.
  • Proven track record in developing businesses for profitability.
  • Excellent organisational, interpersonal and communication skills.
  • Highly self-motivated, good working attitude with a high level of professionalism and integrity.
  • Strong conviction in serving the needs of the less privileged through profitable enterprises that fund social impact programmes.

 

Duty Manager, Front Office

You are responsible for providing prompt and exceptional service to customers.

Duties and Responsibilities:

  • Serves guests by completing registration; controlling room assignments.
  • Greet the guest on arrival at the hotel. Welcomes guests by greeting them, answering questions and responding to requests.
  • Registers guests by obtaining or confirming room requirements; verifying pre-registration; assigning room; obtaining information and signatures; issuing door keys.
  • Deal with reservations accurately and efficiently, prepare guest bills correctly.
  • Work closely and update relevant departments.
  • Establish credit by verifying credit cards or obtaining cash.
  • Collect revenue by entering services and charges; computing bill; obtaining payment.
  • Upsell guest to the next category of rooms.
  • Respond to reservation enquiries by telephone, in person, and by letter, fax and email.
  • Take messages for guests, and ensure they receive these and any mail safely and without delay.
  • Ensure guest valuables may be taken care of at the reception safe deposit boxes.
  • Provide information to guests by answering inquiries regarding hotel and other services guests may require, such as entertainment, shopping, business, and travel.
  • In an emergency, know and execute responsibilities, which include assisting guests to evacuate the building, and checking that all guests have reached safety.
  • Manage customer expectations and needs.
  • Oversee daily operations, facilities and security.
  • Address customer issues and complaints.

Requirements:

  • Diploma in Hotel Management / Hospitality & Tourism
  • Relevant experience in similar capacity is an advantage

 

Supervisor, Kindergarten Care Centre (KCC)

You will be responsible for the smooth operations of the Centre, and in meeting the student enrolment targets and profit goals. You will ensure that a safe and conducive environment is provided for the preschool children.

Duties and Responsibilities:

  • Plan and implement the weekly schedule and programme(s) for preschool children in accordance with the Kindergarten Care guide
  • Observe lessons being conducted in the classrooms and provide necessary feedback to Programme Staff on pedagogy and lesson delivery
  • Plan holiday field trips and ad-hoc activities
  • Plan and manage the staff scheduling, to ensure the staff to child ratio is maintained at all times, including transition periods
  • Responsible for the proper use and maintenance of all furniture, furnishings, fittings, equipment and play resources
  • Work with external stakeholders on menu plans, teaching resources, survey evaluation results and make contingency plans.
  • Responsible for financial reporting, receipts and expenses
  • Responsible for staff management and child-parent matters
  • Ensure that the Centre premises are clean, hygienic and well-maintained at all times
  • Ensure the safety and well-being of each individual child
  • Maintain an appropriate atmosphere of safety, learning, and fun, in line with YMCA’s philosophy
  • Perform classroom-teaching duties during the absence of Programme staff

Requirements:

  • Minimum a Diploma in Early Childhood Education
  • At least 3 years’ experience in a pre-school setting
  • Dedicated with positive working attitude
  • Excellent written and verbal communication skills
  • PC literate

 

Supervisor, Student Care Centre (SCC) 

You will be responsible for leading a team of Student Care Centre staff in the operations and management of daily after-school activities for primary school children based on YMCA’s student care programmes.

Duties and Responsibilities:

  • Manage overall planning, Centre operations and staffing
  • Attend to Student-Parent matters with regards to activities, policies, enrolment, student’s academic and behavioural attitudes and achievements
  • Supervise activities such as field visits and group discussions to stimulate students’ interests and broaden the understanding of their physical and social environment
  • Involved in staff selection, development, delegation of duties and performance
  • Prepare periodic reports on student enrolment, expenses, manpower, training, etc

Requirements:

  • Minimum diploma in a relevant discipline
  • At least 3 years’ experience in similar capacity, preferably in a student care/tutoring environment
  • Passionate and able to work with young children between 7-12 years old
  • Excellent interpersonal skills
  • PC literate
English Teacher, Child Development Centre (CDC)

You are responsible for planning and providing opportunities for children to acquire the necessary knowledge, skills and dispositions through an integrated and holistic curriculum.

Duties and Responsibilities:

  • Responsible for the preparation the classroom environment including pre-activity set-up. Ensure the classroom materials are of superior quality and adequate in supply.
  • To manage children between 18 months to 7 years old and provide high levels of interaction to promote critical thinking and positive attitudes towards learning.
  • Supervise activities such as field visits and group discussions to stimulate children’s interest and broaden the understanding of their physical and social environment.
  • Prepare Lesson Plans in line with the curriculum developed according to MOE Curriculum Framework for Kindergartens to provide multiple experiences and social interactions.
  • Able to demonstrate and use audio-visual teaching aids to present subject matter to the class when necessary.
  • Observe and monitor how and what children are learning and use the information to create new learning opportunities for children.
  • Observe and monitor how and what children are learning and use the information to develop children’s developmental profile.
  • Evaluate lessons conducted to determine what children know and are able to do which will help in planning appropriate lessons to enhance children’s development and learning.
  • Provide support, warmth and emotional support for the children when needed.
  • Instruct children in practices of personal cleanliness and self-care. Exhibit a consistent sense of calm, consistency, grace and courtesy toward the children.
  • Ensure the safety and well being of each individual child. Observe children to detect signs of ill health or emotional disturbance and to evaluate progress.
  • Maintain an appropriate atmosphere of safety, learning, and fun, in line with YMCA’s philosophy.
  • Any other duties or projects to be assigned by the immediate superior.

Requirements:

  • Diploma/Certificate in Early Childhood Care and Education (Teaching)
  • Applications with higher qualifications or more experience may be offered the (Senior Teacher position)
  • At least 2 Year(s) of working experience in the related field is required

 

Chinese Teacher, Child Development Centre (CDC)

You are responsible for planning and providing opportunities for children to acquire necessary knowledge, skills and dispositions through an integrated and holistic curriculum.

Duties and Responsibilities:

  • Prepare the classroom environment including pre-activity set-ups. Ensure classroom materials are of good quality and are adequate in supply
  • Manage children between 18 months to 7 years old and provide high levels of interaction to promote critical thinking and positive attitudes towards learning

Assistant Teacher, Child Development Centre (CDC)

Supervise the activities of the children and help children to regulate and adapt their behaviour, emotions and thinking to solve problems and to get along with others. Maintain a clean and safe classroom environment for the children.

Duties and Responsibilities:

  • Coordinate/assist to conduct age appropriate programme activities for children’s learning experiences.
  •  Observe and monitor how and what children are learning and use the information to develop  children’s developmental profile.
  • Prepare basic Lesson Plans in line with the curriculum developed according to MOE Curriculum Framework for Kindergartens to provide multiple experiences and social interactions
  • Participate in meetings (eg: staff development/staff meetings, etc), for the purpose of sharing information and/or improving one’s skills and knowledge.
  • Report observations and incidents (accidents/fights/inappropriate social behaviour, safety conditions) for the purpose of ensuring a safe and nurturing environment for young children.
  • Responsible for maintaining order in the classroom and playground.
  • Foster social behaviour through games and group projects to assist children in forming satisfying relationships with other children and adults.
  • Encourage students in singing, dancing, rhythmic activities and in the use of art materials to promote self-expressions and in appreciation of aesthetic experiences.
  • Implement creative ideas, activities, and stimulating lessons to involve the children in the classroom.
  • Provide support, warmth, security and stability for the children.
  • Instruct children in practices of personal cleanliness and self-care. Exhibit a sense of calm, consistency, grace and courtesy toward the children in the classroom.
  • Ensure the safety and well being of each individual child. Observe children to detect signs of ill health or emotional disturbance and to evaluate progress.

  • Assist other personnel as may be required in providing routine care for children/preparing teaching aids, etc.

Requirements:

  • Certificate in Preschool Teaching/Fundamentals trained
  • At least 1 year’s experience
  • Qualities
    • Previous experience working with young children.
    • Excellent communication skills (both oral and written) with flexibility to work with various age groups. 
    • Patient and love teaching children.
    • Friendly and cheerful disposition.
    • Preferably bilingual (very conversant in English and/or Mandarin)

Programme Staff, Kindergarten Care Centre (KCC) 

Your role includes ensuring safety and health standards, handling emergencies, setting up specially designed environments and implementing the Kindergarten Care Centre’s programmes based on the Kindergarten Care Guide provided by the Authorities.

Duties and Responsibilities:

  • Responsible for the setting up of specially designed environments including pre-activity set ups. Ensure the programme materials are in good quality and adequate in supply
  • To manage kindergarten children and provide high levels of interaction to promote critical thinking and positive attitudes towards learning
  • Implement the Kindergarten Care Centre’s programmes based on the Kindergarten Care Guide provided
  • Supervise activities such as field trips and sharing sessions to stimulate children’s interest and broaden the understanding of their physical and social environment
  • Demonstrate and use audio-visual teaching aids to present subject matter to classes
  • Observe and monitor how and what children are learning and use the information to create new learning opportunities for them
  • Observe and monitor how and what children are learning and use the information to develop children’s developmental profile
  • Provide support, warmth and emotional support for the children when needed

Mentor, Student Care Centre (SCC) 

You will be responsible for implementing and supervising all aspects of daily teaching and development activities for children enrolled in the Student Care Programme.

Duties and Responsibilities:

  • Prepare lesson contents and teaching environments
  • Supervise activities to achieve developmental objectives
  • Daily administration – attendance, grade records, health and safety, etc
  • Maintain order in classrooms and on the playground
  • Implement creative ideas, activities, and stimulating lessons and encourage students’ participation in classroom activities
  • Address and counsel student behaviour as needed
  • Maintain an appropriate atmosphere of safety, learning, and fun, in line with YMCA’s philosophy

Job Requirements:

  • Minimum O Level English Grade C6 or equivalent
  • Student care / tutoring experience is advantageous
  • Patient and passionate about teaching children
  • Friendly and cheerful with good interpersonal skills and organisation skills
  • Candidates with higher education level and working experience will be considered for Senior Mentor, position
Cook-cum-Cleaner

You will be responsible for the daily cleaning and the preparation of the food and beverages at the Centre.

Duties and Responsibilities:

Daily Cleaning:

  • Ensure that excellent standards of hygiene and cleanliness are maintained on the kitchen, kitchen equipment, dining room area, food storage areas and toilets
  • Daily cleaning of dishes and utensils, shower rooms, toilets and floor

Food Preparation:

  • Collect the food and beverages for meals and tea breaks from licensed caterer
  • Assist with the distribution of food to the children
  • Store food appropriately

Regular Maintenance:

  • Disinfect toys
  • Dust and clean windows and fans (without climbing)
  • Wipe refrigerator and keep the inside neat and clean

Requirements:

  • WSQ Food Hygiene certification is advantageous
  • Able to communicate in simple English
